Privacy notice
How we handle the information you give us. Last updated 20 August 2026.
What we collect
When you send an inquiry we collect your name, phone number and, if you give it, your email address, along with the trip details you tell us about: origin, destination, dates, number of passengers and any notes you add.
When you become a customer we also hold the records needed to arrange and account for your travel: the airline or provider, the route, the departure date, the fare, the booking reference and the airline record locator (PNR).
We record a one-way cryptographic hash of the IP address an inquiry was sent from. We use it to limit automated submissions. It cannot be reversed back into an IP address.
Passport and identity documents
We only ask for passport details when a specific booking or visa application requires them. Where we do hold them, they are stored only for as long as the booking or application needs, and they are visible only to the staff working on your travel.
What we use it for
- Answering your inquiry and quoting your travel.
- Making the booking with the airline, visa service or other provider.
- Contacting you about a booking you have made, including schedule changes.
- Keeping the financial and operational records a travel business is required to keep.
What we do not do
We do not sell your information. We do not share it with anyone other than the airlines, visa services and providers needed to deliver the travel you have asked for. We do not send you marketing you did not ask for.
How long we keep it
Inquiries that do not become bookings are kept while they are still useful to us and then removed. Booking and payment records are kept for as long as accounting and tax obligations require.
Your choices
You can ask us what we hold about you, ask us to correct it, or ask us to delete information we are not required to keep. Contact us on +254 700 156 949 or info@tokiotravel.co.ke.
